This non-exempt position will provide administrative and clerical support to the Human Resources department and other internal organizations as directed. 

Duties and Responsibilities: 

Duties may include, but are not limited to: 

  • Ensure a high level of health and safety, cleanliness and food hygiene and to see that safe working practices are followed. 
  • Manage coordination of catering services, including but not limited to scheduling/ mediation of conference room space, organizing eating locations, transport of meals, setup and clean-up. 
  • Assist in the preparation and serving of food and beverages to client, staff and others. 
  • Washing and drying of kitchen pots/utensils & all other items used in kitchen area, ensuring their proper storage, and keeping the kitchen area clean and tidy, in line with office cleaning schedules. 
  • Procure, transport and store stock for kitchen and office supplies. 
  • Assist in inventory taking and storage of stock, including checking deliveries. 
  • Distributing facsimiles and printed materials from copiers/printers 
  • Distributing incoming mail and preparing outgoing mail for shipping using postage meter and/or FedEx packaging for the department. 
  • Responsible for creation and handling of confidential and time-sensitive material. 
  • Stock paper and toner in all copier/printer machines. 
  • Organize copy, storage and kitchen areas. 
  • Attending training courses as appropriate. 
  • Assist EAs and Admin Assistant in workload overflow, when needed: 
    • Providing administrative services, such as proofreading, filing, photocopying, scanning, faxing and emailing hardcopy and electronic documents. 
    • Performing other administrative duties as assigned for back office support for the FedBid headquarter staff. 
  • Performing other duties as assigned

  • High School Diploma required, some college coursework is preferred. 
  • Proficient use of Microsoft Office Suite 
  • Excellent written and verbal communication skills; stellar interpersonal skills 
  • Ability to lift and carry boxes and supplies 
  • Ability to type at least 40 wpm 
  • Proficient operation of photocopier, fax machine, scanner, and binding equipment 
  • ServSafe® Classroom Training and ServSafe® Certification a plus, ability to learn and maintain a ServSafe® Certification if not already trained 
  • Ability to remain proactive, resourceful and flexible in a fast-paced work environment 
  • Excellent work ethic including, high results-orientation, attention to detail, strong customer focus, excellent initiative, and an exemplary level of professionalism 
  • Must have own form of transportation
